Office Administrative Assistant
This isn’t an ordinary receptionist job – and you’re not so ordinary, either.
We’re looking for a responsible, detail-oriented person to join our human resources team. We work hard, but we have fun, too, and we truly work as a team. And we need someone to help us stay organized! We’re a fast-paced electronic publisher. We make interesting products, and a lot of interesting people work here, too. You never know what sort of conversation you’ll find yourself in during lunch – anything from Star Wars to comics to shoes! And did I mention you can wear shorts to work?
You are always looking for ways to contribute, and if you have an idea about how to do something better, you’re not afraid to speak up. You’ve been recognized for your organizational skills, attention to detail, and initiative. You should have some office experience and be a professional diplomatic communicator.
Here are some things you might do in a typical day:
- Greet and direct visitors
- Answer the phone, screen calls, and forward calls or messages to their correct destinations
- Distribute mail and packages
- Maintain the meeting room calendar and assign space as necessary
- Make necessary arrangements for off-site meetings
- Make arrangements for couriers, taxis, shippers, as requested
- Assist conference manager with shipments to and from tradeshows
- Handle travel requests (book flights, hotels)
- Prepare expense reports for senior managers
- Monitor office supplies and restock as necessary
- Exorcise the hobgoblins in office machinery, such as copier, fax, alarm system
- Scan, upload, and file all license agreements
- Support sales and marketing staff: lead reports, competitor research, correspondence
- Support finance with invoice processing.
Requirements
- 2+ years working in a fast paced office environment, preferably in an administrative role supporting executives
- High energy level and ability to prioritize competing requests
- Outstanding interpersonal, communication, and customer service skills including a flexible and positive attitude
- A very high degree of personal integrity including the ability to manage sensitive or confidential information
- Strong organization skills and the ability to manage multiple processes and priorities at once
- Strong technical skills including proficiency in Outlook, Excel, and Word, as well as proficiency using standard office equipment such as a copier, postage machine, fax, printer, and postage station
- Bachelor’s Degree preferred
- Ability to lift and handle packages or equipment up to 30 lbs.
- Ability to communicate orally and in writing, in a clear and concise manner.
- Ability to adapt to changing work requirements and priorities that require overtime or extended hours.
- Ability to contribute to a team as well as complete tasks independently
